Instructions

 

 

 

These Instructions are created so that you, as the Class/Event Administrator and Contact for your Classmates/Guests, have an understanding as to how the CLASS ADMIN SERVICE MENU works and what you can do with it.

 

The very first thing that must happen is that you OPEN a TEMPORARY ACCOUNT with the Company. You received a copy of this document, because you have already opened your temporary account and a CONSULTANT was ASSIGNED and your Temporary Account was FINALIZED and ACTIVATED.


Please note that while these web pages are primarily designed for Class Reunions, they can be utilized for ANY type of Event, by simply disregarding the inference of a Class Reunion.

 

The page you use to do your Temporary Account is found below.

 

 

Try to fill in as much information as possible. We understand that not everything can be provided at this time. For example, the Event Venue (hall/caterer) will likely not be known. Put in the one you would like to try or just put in the word “None”. When the Consultant contacts you and finalizes your account, more information well become available,


When you entered the Reunions & Party Consultants Web Site, you probably went to the HOME Page first.

 

The actual “workings” for the Class Administrator is accomplished by your accessing your EVENT HOME PAGE. To do this is illustrated below.

 


CLICK EVENTS IN THE CONTENTS COLUMN...

 

 

 


After you click EVENTS you will see the following page...

 

 

 

 

 

Click on the words “Clicking Here!”

 

You will then see the following page...

 

 

To proceed, click the word “SELECT” next to your Event...

 

You will then see the next page...

 

 


Now you must click as instructed and you will be taken to your Event’s HOME PAGE!

 

 

 

ON YOUR EVENT’S HOME PAGE!


A number of selections are available on the HOME PAGE. These are separated distinctly by the type of access a person will have. Those “Selections” on the right, mostly have to do with your classmates. The “Admin Access” link has to do with you, the Class Administrator.

 


OK, CLICK ON “Admin Access”. You will be taken to the following page...

 

 

 

Within this page, you can LOG ON to the CLASS ADMIN MENU. To do this:

 

          1. Click the down button on Select your Action.

 

          2. Click on “Admin Access”.

 

          3. Enter your e-mail address that you used when you created your “Temporary Account”. This is                your USER ID. Enter this where indicated.

 

          4. Enter your PASSWORD that you created when you created your “Temporary Account”.

 


The page should resemble the following page...

 

 

If you did not do everything correctly, and error message in RED will alert you and you can try again. If you can’t remember either of your codes, click the “Forgot Password?” link. You will be taken to a page that will allow you to identify yourself another way and then your codes will be e-mailed to you. Note: the codes will only be sent to the e-mail address that is specified on the account for the Contact Person.

                                  

If you entered everything correctly, when you click the LOGON Button you should get the next following page...

 

 

This is your “CLASS ADMIN – SERVICE MENU”! You can do a number of things with this menu.  You can:

 

          1. Report Missing Classmates.

          2. Update Missing Classmate Information (which also gives you the ability
              to DELETE these records as well).

          3. Using the Reunion Respondents Report to see ALL of your classmates who have REGISTERED                  under your event.

          4. See what classmates sent in the  Reunion Survey.

          5. See the Scoring of the Reunion Survey to help in determining what kind of reunion is anticipated.

          6. Use the MASS-EMAIL Utility to send general messages to ALL, SOME or just ONE classmate.

 

Below, we will show you the pages that appear for each of these functions.

 

 

REPORTING MISSING CLASSMATES

 

 

Use this page to report missing classmates. You enter in the information that is “LAST KNOWN” about the classmate. Then click the SUBMIT BUTTON. The information is saved in our database and can be viewed from the EVENT HOME PAGE, by anyone visiting the EVENT. It’s the information that is provided by other classmates that can help you LOCATE the missing ones.

 

You can CHANGE (that is UPDATE) this information. See the next page for information on this.

 

 

First, from the MENU, you click on UPDATE MISSING CLASSMATES.

 

You will see the following page.

 

 

UPDATE MISSING CLASSMATE INFORMATION

 

 

All of the MISSING CLASSMATES that you entered will appear on this web page. They will be in the order they were entered. Whether there is ONE or ONE HUNDRED, all of them will appear here. The page may see tenuous, but you just scroll down the list to find the classmates your want to update.

 

Also, this page shows the FOUND Classmates as well. The only way to remove them from this page is to DELETE the records.

 

When you click the DELETE link next to the Classmate’s name, that record is ABSOLUTELY DELETED! Once it is gone, it is GONE! So, be careful when doing DELETES.

 

Click the UPDATE Link next to the Classmate’s Name and the following page will be displayed.

 

In this case, we will click UPDATE next to Mary Shurman’s name.

 

UPDATE MISSING CLASSMATE PAGE
Classmate’s Information is filled in for you.

 

 

Mary Shurman’s Record is displayed with all of the information that you ORIGINALLY entered. To make an UPDATE, simply change the information in one or more of the fields displayed. You can change the Last Known Reason from the DROP DOWN BOX. You can also change the STATUS from the CHANGE STATUS DROP DOWN BOX. If you do not want to change either one of these fields, simply, LEAVE IT ALONE.

 

To effect the UPDATE, click the SUBMIT BUTTON.

 

After you submit the changes, you will be taken back to the EVENT MISSING CLASSMATES MAINTENANCE SELECTION Page.

 

To get out of the MAINTENANCE SELECTION Page, simply click the Exit Page Link. You will be taken back to the MENU.

 

 

Now, we will look at some of the “other” functions you can perform from the Menu.

 

 

REUNION RESPONDENTS REPORT

 

 

Selection of the REUNION RESPONDENTS REPORT, gives you the above page. The page is in a report format and no changes can be made, from it. You can, however, see the Information for each classmate on the report, by clicking their Names.

 

This report will tell you WHO has REGISTERED. It also provides information on whether or not the classmate took the Survey, Sent in an R.S.V.P., Purchased Event Tickets and how many, Paid a Deposit and what any Balance Due may be. The classmate’s e-mail address is also supplied for other uses.

 

 

REUNION SURVEY REPORT

 

 

When you select the REUNION SURVEY REPORT, the above page will be displayed. Again, this is a report only page. Nothing can be changed on it. While it is similar to the Survey Scoring Page, by listing all the names of classmates that took the survey, this report provides information about each individual classmate’s PREFERENCES.

 

The Date the survey was taken is first shown; then the Classmate’s Name. Then, the individual PREFERENCES for Attendance, Bringing a Guest, Needing Lodging, Meal Service, Meal Preference, Guest’s Meal Preference, Bar Service and finally Music Preference.

 

You can PRINT this page by Highlighting from the top to the bottom and right click area then select PRINT from the Shortcut Pull down Menu.

 

When finished with this page, click EXIT and you will be taken back to the MENU.

 

 

REUNION SURVEY SCORING REPORT

 

 

The REUNION SURVEY SCORING REPORT is comprehensive enough to provide a Statistical Averaging and Results Suggestions for each Category found on the Survey. In addition, you will see the results from the REUNION SURVEY REPORT first, then the SCORING TABLE will appear at the end of the report.

 

The first part of the scoring lists the splits between Preferences, with a total of each split, which is used in the AVERAGING section.

 

The SCORE BY AVERAGE section, computes the averages and uses them to give you a BALL PARK Suggestion of the type of Reunion that should be planned.

 

Of course, this is NOT the absolute results because not everyone who attends will take a survey.

 

You can PRINT this page as well. See above for instructions.

 

When you’ve finished with the report simply click EXIT and you will be returned to the MENU.

 

 

MASS E-MAIL UTILITY

 

 

This is a rather POWERFUL function of this web site. With the MASS E-MAIL UTILITY, you can contact EVERYONE who has REGISTERED; all of your COMMITTEE DESIGNATED Classmates or just ONE classmate, all from this page.

 

You enter your E-mail Address. Then, enter the SUBJECT of the e-mail. Then, select a RADIO BUTTON that represents the group or individual you want to send e-mail to. (The Send to button requires an e-mail address be entered for it to work).

 

Then you type in your message. The message can be up to 1,000 characters in length.

 

Then, click the SEND BUTTON!  Everyone designated, will receive the e-mail message you composed.

 

After, the message is sent; you will be taken back to the MENU.

 

Conclusion:

 

This is a very powerful tool. Use is wisely and it will serve you and your reunion plans well.
